Basic Microsoft Outlook (for Mac)

Set a default font for new email in Outlook for Mac!: Open Outlook ❯ Settings then in ‘Personal Settings’ click Fonts, choose the message type then and specify the font settings and click ‘OK’

Set a signature for outgoing email in Outlook for Mac!: Outlook ❯ Settings ❯ Email ❯ Signatures to open the Signatures window. The Standard signature will show. For a new signature click ‘+’ to open that window. Give it a name and type the signature in the box below then click ‘Save’ above. Under ‘Choose default signature’ select the new signature for New messages and Replies/Forwards as wanted

Display external images in incoming email in Outlook for Mac!: Outlook ❯ Settings ❯ Email ❯ Reading. Under ‘Download external images’ you can decide to not ‘Ask before downloading’, (However it may be better to do this for messages from contacts only)

Compose and send new email in Outlook for Mac: Click ‘New email’ in the ribbon or Ctrl + N, add one or more email addresses in ‘To’ field and a clearly worded subject in ‘Subject’. Add line breaks as you type so the message is easy to read. To add a photo, emojis, a table or even a Template (once you have set some up), click on the three more options dots ‘…’ on the far right of the top tool bar to see ‘Add-ins’, ‘Insert’ and ‘Options’. Read over the message then click ‘Send’

Read an email in Outlook for Mac – easily: Select an email then either read in the reading pane or open it in a new window (double click or press ‘Command’ + ‘O’). To enlarge the text, it must be opened in a new window. Click on ‘Zoom’ in the Message ribbon and increase the percentage. Do not check the box ‘Remember my preference’ unless you want to permanently change the zoom level for all emails

Reply to email in Outlook for Mac: Open email and click Reply or Reply all. Change subject if useful, by clicking in the Subject area and editing the text. For long emails, reply within the received email so it is easier to read (add ‘Preface comments with’ see ‘Make Outlook for Mac easy to use’. Outlook will use the default font and font size that you have set. Read over the message then click ‘Send’

Forward an email in Outlook for Mac: Open or select the email (if shown in reading pane) and click the forward arrow pointing right or the ‘Forward’ button. Add one or more email addresses in the ‘To’ field. Change subject if useful by clicking in the Subject area and editing the text. Type your message, read over it then click ‘Send’

Attach pictures or documents to an email in Outlook for Mac: In a new email, click in the text area, then look in the tool bar above for the paperclip and ‘Attach File’ to reveal a drop down menu of ‘Browse this Mac, Browse Cloud Locations or Insert link’. Either attach a photo from your Mac that is in Recent Files or click ‘Browse this Mac’ then browse to the file you wish to attach and click ‘Insert’

Insert pictures in an email in Outlook for Mac: In a new email, click in the text area, then look in the tool bar for the Pictures icon and click on it. Select the file source then attach the file to the email body.

Add a link to an email in Outlook for Mac: In a new email, click in the text area, then look in the tool bar for the Link icon and click on it to reveal a drop down menu of recent files to link to and options at the bottom. To insert a link that you will type in, click on ‘Insert link’ and fill in the boxes

Unsubscribe from email messages or block messages in Outlook for Mac: Open the company email in its own window (double click on it) then scroll down to the end of the email and look for the ‘unsubscribe’ link (often in small text and underlined). Click on it to open the Unsubscribe webpage then confirm as required. To block an annoying email sender that does not offer this, in the Delete section of the ribbon, select Junk and choose Block Sender. You can block or unblock a sender anytime. Select Junk ❯ Junk E-mail Options. Choose the Safe Senders or Blocked Senders tab and make your changes
